The Training Centre is the part of QTRACA built for trainees. You open it from a link or QR code your site gives you, sign in with a personal 4-digit PIN, and see only your own training: courses, documents to read, quizzes, learning paths and sessions you are booked on. There is no username or password, and you do not need a QTRACA staff login.
Where to find it: open the Training Portal link or scan the QR code your supervisor or training manager gives you. Staff create both under Setup > Training > Portal Access.
Concepts
| Term | What it means |
|---|---|
| Portal link | The web address of your company’s Training Centre for one site. It carries a site access key, so it only works for that company and site. |
| QR code | The same link as a code you scan with a phone camera. Sites often print it and put it up in the lunch room or training room. |
| PIN | Your personal 4-digit number. It identifies you, so the portal shows your training and records your completions against your name. |
| Session | The time you stay signed in after a correct PIN: up to 24 hours, and only in the browser tab where you entered it. |
Quick start
- Scan the QR code with your phone’s camera, or open the portal link in a browser. Phones, tablets and computers all work.
- The Welcome Back screen asks you to Enter your 4-digit PIN to continue.
- Type your four digits. The portal signs you in as soon as the fourth digit is entered.
- You arrive at the Training Centre. See Navigating the Training Centre.
Entering your PIN

- Each box takes one digit, and the cursor moves on by itself. On a phone the number keypad opens.
- Only digits are accepted. Backspace clears a digit and steps back; the arrow keys move between boxes.
- The PIN is checked automatically once all four digits are in. Submit (or Enter) does the same thing if you prefer to press it; it shows Verifying... while it checks.
- Clear empties all four boxes so you can start again.
Forgotten your PIN? Ask your supervisor or training manager. They can see it on your trainee record and can issue you a new one. Nobody can recover it for you from the portal itself.
When sign-in is refused
Incorrect PIN

The boxes are cleared and Incorrect PIN. Please try again. appears. The portal deliberately gives the same message for every reason a PIN is not accepted, so it cannot be used to discover which PINs exist. The reasons are:
- the PIN was mistyped;
- your trainee record has been deactivated;
- the link you opened is for a different site from the one your trainee record belongs to (see Things to know).
Too many attempts

To stop anyone guessing PINs, the portal locks sign-in after repeated failures. While locked, the boxes and buttons are disabled and a countdown shows Too many attempts. Please try again in mm:ss, the time actually left on the lock. The countdown carries on if you reload the page or reopen the portal on the same device.
| What happened | Lockout | Who it affects |
|---|---|---|
| 5 wrong PINs for one site from the same network connection | 15 minutes | Everyone signing in to that site from that connection. |
| 20 wrong PINs from the same network connection, across any sites | 1 hour | Everyone using the portal from that connection. |
A lockout is shared. It is counted per network connection, not per person, and the tablets and phones on a factory’s Wi-Fi usually share one connection. One person guessing can lock out the whole shift, so if you are unsure of your PIN, ask rather than try combinations. Opening an old or invalid portal link does not count towards it, so when your company replaces the portal link, the devices still using the old one do not lock out the site. The lock lifts on its own; nobody needs to reset it. A correct PIN after the lock lifts clears the site’s count.
Invalid Access Link

This screen means the portal could not accept the link itself, before a PIN is even asked for. The message reads This trainer link is no longer valid. Please contact your administrator for an updated link. Common causes:
- Your company generated a new access key, which retires every older link and QR code. The device forgets the old link at the same time. Ask for the current link or scan the new QR code.
- The link was cut short when it was copied or typed.
- This device has never opened the portal link, and you went straight to a portal address without it. Open the link or scan the QR code once; see Your session.
Your session, and signing out
- A session lasts up to 24 hours. After that, the next thing you tap takes you back to the PIN screen. Enter your PIN again to carry on; anything you had already submitted is kept.
- It belongs to one browser tab. Opening the portal in a second tab or window, or reopening the browser, asks for your PIN again.
- Closing the tab signs you out. There is no sign-out button. On a shared tablet or computer, close the tab when you have finished so the next person cannot act as you.
- If you return to the same tab within the 24 hours, you go straight back to the Training Centre without a PIN.
The device remembers the link, not you. Once a portal link has been opened on a phone, tablet or computer, that browser keeps it. A bookmark of any portal page, a new tab, or the installed app then goes straight to the PIN screen without the link. It never keeps you signed in: everyone still enters their own PIN.
The small sign-in icon in the top right corner switches to the staff Standard or Operator login. It is for staff sharing a device, not a sign-out, and trainees do not need it.
Course QR codes
| QR code | What happens |
|---|---|
| Portal QR code | PIN screen, then the Training Centre. |
| Course QR code | Printed for one course, for example beside a machine. After your PIN it opens that course directly. If the course is not assigned to you, you see Not Assigned: You have not been assigned to this training course. with a Go to Menu button. Ask your supervisor to assign it. |
Availability and permissions
- The portal is part of the Training module. If your company does not have it, the portal does not open.
- Anyone with an active trainee record and a PIN at the site can sign in. Staff add trainees and give out PINs; see Inviting trainees to the portal.
- A signed-in trainee sees and changes only their own records. Asking for someone else’s course or document is answered as if it did not exist.
- The portal needs an internet connection. If the connection drops, a banner says You are offline: Training needs an internet connection. Reconnect to continue.
Things to know
- A link is for one site. PINs are checked against the trainees of the site in the link. Staff get the link and QR code for the site they are working in, so if you work at more than one site, or a correct PIN is refused, check that the link is for your site.
- No offline mode and no fingerprint or face sign-in. Both were removed. Every sign-in uses your PIN, and training can only be done while connected.
- Installing the portal on your home screen is covered in Installing the Training Centre app.
