QTRACA is priced in two parts that you choose separately: a plan, which sets how much you can hold — users, sites, products, trainees, remote devices and AI credits — and the modules, which decide what the app can do. Every plan can hold any module. This article explains the three plans, the nine modules and how they depend on each other, how bundle discounts are applied, and what add-on blocks buy.
Where to find it: your user profile, reached from your avatar in the top corner → Account Billing → Change plan. Account Billing appears only for billing owners.
Prices are not listed in this article, because they depend on your billing currency and change over time. The Change plan screen always shows the current price in your currency, and prices every selection before you commit to it.
Concepts
| Term | Meaning |
|---|---|
| Plan | Starter, Standard or Enterprise. A plan sets volume only — how many users, sites, products, trainees and remote devices you can have, and your monthly AI credits. It does not decide which features you can use. |
| Module | A whole area of the app, such as Inventory or Training. Modules are whole: nothing inside a module is held back by plan. |
| Limit | The most of something your plan allows. Reaching one stops you adding more; it never removes anything. See What happens when you reach or reduce a limit. |
| Bundle | A set of modules that costs less together than separately. The discount is applied for you whenever your modules include a bundle. |
| Add-on block | A fixed extra amount of one limit — for example 10 more users — bought on top of your plan. |
| AI credit | The unit AI features are measured in. See AI credits. |
The three plans

The screen says it plainly: “Plans set volume only — users, sites, products, trainees, devices and AI allowance. Every plan can buy every module.” Choose the plan by how big your operation is, and the modules by what you do.
| Limit | Starter | Standard | Enterprise |
|---|---|---|---|
| Described on screen as | Up to about 10 staff, one site | The main plan | Multi-site, medium to large |
| Users | 5 | 25 | 100 |
| Production sites | 1 | 1 | 3 |
| Products | 500 | 5,000 | Unlimited |
| Trainees | 25 | 150 | Unlimited |
| Remote (IoT) devices | 5 | 25 | 100 |
| AI credits a month (USD accounts) | 1,000 | 1,500 | 2,000 |
| AI credits a month (AUD and NZD accounts) | 500 | 750 | 1,000 |
What each limit counts:
- Users — every active user, including portal (External) users. Auditors are free and never use a seat. An inactive user does not count.
- Sites — active sites. A deactivated site frees its place.
- Products — active products across the whole account, not per site. Products on a deactivated site do not count.
- Trainees — every trainee record on the account.
- Remote devices — active devices across the whole account (the Remote Devices menu). Devices on a deactivated site do not count.
- AI credits — an allowance that renews each billing period. See AI credits for why AUD and NZD accounts receive half.
You can see how much of each you are using on Account Billing. See Managing your plan.
The nine modules
The descriptions below are the ones shown on the Change plan screen.
| Module | What it covers |
|---|---|
| Quality | Forms, CCP, process diagrams, food safety plan, non-conformances, complaints, recall, allergens. Recall and allergens need Inventory as well — a recall traces receipts and dispatches, and an allergen is declared on a product. |
| Inventory | Stock, locations, movements, transfers, inwards goods, dispatch, units of measure, pack sizes. Receipt and dispatch a single product type — add Manufacturing to record batches. |
| Orders | Sales orders, contracts, purchase orders, dispatch planning, invoices, bills, accounting exports, tax. Adds bundles (kits) as a sellable product type. |
| Demand Planning | Forecasts, demand plans, stock policies and alerts, production and procurement planning. |
| Manufacturing | Batches, recipes, scheduling, production lines, packaging, rework, batch costing. Also covers contract manufacturing — recording batches a third party made for you, without recipes. |
| Training | Courses, trainees, roles, sessions, learning paths, assessments, certifications. |
| Specifications | Product specifications and PIF, supplier product specs, AI label review. |
| Document Management | Managed documents, approval chains, categories, approvals, snapshots. |
| IoT | Remote devices, monitoring dashboard, calibration, alert rules. |
A module you do not hold disappears from the menu. Account Billing still lists all nine, marked Included or Not included, so you can see what else is available.
Modules that need other modules
Three modules cannot work alone, and QTRACA will not sell them alone:
| Module | Needs | Why |
|---|---|---|
| Manufacturing | Inventory | Units of measure, pack sizes, stock and locations all live in Inventory. |
| Orders | Inventory | Order lines move goods, and without Inventory there is nothing for them to move. Orders does not need Manufacturing — Inventory and Orders together suit a business that buys and resells. |
| Demand Planning | Manufacturing and Orders (and so Inventory) | It plans production, which needs Manufacturing, and purchasing, which needs Orders. |
- Ticking a module ticks what it needs. Before you tick, the module shows Also adds … naming what will come with it.
- Unticking a module that another one needs is refused, rather than silently removing the other module too. The screen says which one is holding it, for example “Demand Planning needs Orders. Remove Demand Planning first.”
Bundles

| Bundle | Modules |
|---|---|
| Inventory Suite | Quality + Inventory |
| Manufacturing Suite | Quality + Inventory + Manufacturing |
| Trade Suite | Quality + Inventory + Orders |
| Food Safety Suite | Quality + Training + Document Management + Specifications |
| Full Suite | All nine modules |
You never have to pick a bundle to get its discount. The discount is worked out from the modules you have ticked: if they include a bundle, the saving is applied automatically and shown as a line in the price summary (for example Full Suite discount). A bundle grants exactly the same access as buying its modules one at a time.
The bundle buttons are a shortcut. Pressing one replaces your module selection with that bundle’s modules; you can then tick extras on top. Only one discount ever applies — the best one your selection qualifies for — and the highlighted bundle follows that discount rather than the button you pressed last.
Add-ons

If you need more of one thing without moving to a bigger plan, buy add-on blocks. Each block adds a fixed amount to one limit, every month, for as long as you keep it.
| Add-on | One block adds |
|---|---|
| Users | 5 users on Starter, 10 on Standard, 25 on Enterprise. The block size and price follow the plan you choose. |
| Sites | 1 site. The price follows the plan you choose. |
| Products | 1,000 products |
| Trainees | 50 trainees |
| IoT Devices | 10 remote devices |
| AI Credits | 1,000 credits a month in USD accounts; 500 in AUD and NZD accounts |
“Only what this plan can extend is listed.” On Enterprise, products and trainees are already unlimited, so those add-ons do not appear.
Availability and permissions
- This article applies to accounts on QTRACA’s current pricing. Accounts on the previous plan structure never see these screens: their Account Billing shows the earlier billing screen, and their limits work as they always have.
- Account Billing appears in the profile menu only for users marked as a Billing Owner on the Users screen.
- Accounts whose subscription is billed by QTRACA directly rather than through online checkout see their plan and usage but cannot change them on screen; Account Billing says “Contact QTRACA support to make a change.”
Things to know
- A bigger plan does not unlock features. If a screen is missing, you need a module, not a plan.
- Standard includes one site, the same as Starter. A second or third site on Starter or Standard is a Sites add-on; Enterprise includes three.
- Portal users use a seat; auditors do not.
- The product limit is for the whole account. Adding a site does not give you another allowance of products.
- AUD and NZD accounts receive half the AI credits of a USD account, on plans and on add-on blocks alike. Everything else — users, sites, products, trainees and devices — is the same in every currency.
