When goods are receipted you can print a barcode label for each line. Receipt lines are usually entered in the unit the goods were ordered in — often kilograms when orders come across from your accounting system — but on the dock the goods arrive in cartons, bags or boxes, and each of those needs its own label. Set a label unit on the supplier product and QTRACA works out how many labels a line needs: 100 kg of peas in 10 kg cartons prints 10 labels, not 1.
Where to find it: set the label unit on the supplier under Suppliers → the supplier → Products → the product’s edit icon. Print labels from Inwards Goods in the Inventory section of the main menu.
Concepts
| Term | Meaning |
|---|---|
| Label unit | The pack a supplier ships a product in — a carton, bag, box or similar. One label is printed per label unit. It is set per supplier product, because two suppliers of the same ingredient often pack it differently. |
| Unit conversion | Set on the product, e.g. 1 carton converts to 10.0 kg. This is how QTRACA turns a line in kilograms into a number of cartons. |
| Count unit | A unit of measure you count rather than weigh or measure (its base is unit). Only count units can be a label unit. |
| Label count | How many labels a line prints. Worked out for you, shown with the reasoning, and always editable before you print. |
Quick start
- On the product, add a unit conversion from the pack to the ordering unit — for example carton → kg, 1 carton = 10 kg.
- On each supplier of that product, set Label Unit to carton.
- Receipt as usual. On a line choose More → Print Barcode, or print the whole receipt with Print All Barcodes. The label count is filled in for you.
Step 1: Add the pack conversion to the product
Open the product (for an ingredient, Raw Materials) and go to the Unit Conversion tab. Choose Add Unit Conversion and enter how much one pack holds in the unit you order and receipt in.

The conversion works in either direction, so carton → kg and kg → carton give the same result. You only need one. If you receipt in grams but the conversion is to kilograms, QTRACA converts grams to kilograms for you first.
Step 2: Set the label unit on the supplier product
Open the supplier, go to Products and choose the edit icon on the product. Pick the pack in Label Unit.

The list shows only count units. Where the product has a conversion for a unit, the list shows it in brackets — carton (1 = 10 kg) — so you can see at a glance which choice will actually produce a label count. Choose None (1 label per line) to go back to printing one label per line.
Once saved, the product’s card on the supplier shows the label unit:

Printing labels for one line
On a receipt line choose More → Print Barcode (or Print Barcode at the top of the line itself). The Labels box is filled in, with how the number was reached underneath.

Change the number if the delivery doesn’t match — a short carton, or a mixed pallet — then choose Print. The labels are sent as one print job, one label per page, so the label printer runs them all in one go.
Printing labels for a whole receipt
From the receipt’s menu choose Print All Barcodes. Before anything prints, Print Labels lists each line with what was received, how many labels it will print and why, and a total.

Adjust any count, or set it to 0 to leave that line out, then choose Print. The button shows the total so you know how many labels are about to come out of the printer.
How the label count is worked out
| The line | Labels | Why |
|---|---|---|
| 100 kg, label unit carton (1 = 10 kg) | 10 | 100 kg is 10 cartons. |
| 105 kg, label unit carton (1 = 10 kg) | 11 | 10.5 cartons is rounded up: a part carton still needs a label. |
| 10 carton, label unit carton | 10 | The line is already in the label unit, so one label per carton. No conversion needed. |
| Any quantity, no label unit set | 1 | Shown as No label unit is set on this supplier product, so 1 label is printed. |
| 100 kg, label unit carton, but no carton conversion on the product | 1 | Shown as This product has no conversion from kg to carton, so 1 label is printed. Add the conversion (Step 1). |
Availability and permissions
- Label printing appears only when Use Barcoding is switched on in Account Settings.
- Setting a label unit needs permission to edit suppliers. Printing needs access to the receipt.
- Label size (and whether the traceability value is printed under the barcode) follows your existing barcode settings; label units only change how many labels print.
Things to know
- Existing supplier products start with no label unit, so they keep printing one label per line until you set one.
- Every label for a line is identical. Labels are not numbered “1 of 10”; each carries the same product, supplier, batch and date details.
- The count uses the saved line. If you change a line’s quantity, save it before printing, or adjust the Labels box to match.
- A carton unit must be a count unit to appear in the Label Unit list. If yours is missing, check that its base is unit in Units of Measure.
- Large counts are flagged. Over 200 labels for a line shows a warning to check the count, and a single line can print at most 999.
- “Pages per sheet” in your browser’s print dialog is not the label count. Leave it at 1. The page total at the top of the print dialog is the number of labels.
