Orders arriving from Xero, MYOB, QuickBooks or Shopify can raise their dispatches for you, assign batches, and post them — so an online order does not need a person to walk it through the warehouse steps.

Where to find it: the Allow Clean and Auto Post of Dispatches setting in Account Settings, and the auto-post option on each integration.

What it does

With auto-post enabled for an integration, a dispatch created from that integration’s orders is completed automatically: batches are assigned and the dispatch is posted, taking the stock out without anyone opening it.

Batch assignment uses the oldest available batch for the product, so stock is consumed in age order rather than left to expire behind newer production.

When to use it, and when not to

Suits Does not suit
High volumes of small online orders, where opening each dispatch by hand is the bottleneck. Operations where a person must choose the batch — customer batch restrictions, allergen segregation, or shelf-life requirements a customer has specified.

Auto-posted dispatches are posted. That means the usual lock applies — the header cannot be changed and lines cannot be added. A wrong batch has to be corrected through the QA Manager route. Switch this on once you are confident the integration’s product mapping is right.

Things to know

  • Accounting invoices only arrive when they are set to come in. For Xero, MYOB and QuickBooks, dispatches are only created from their invoices when the integration’s Sales invoices setting is From Xero, From MYOB or From QuickBooks. If it is From QTRACA or Not synced, nothing comes in to auto-post. Shopify is not affected.
  • It is per integration. You can auto-post Shopify orders while keeping Xero dispatches manual.
  • Insufficient stock stops the automation rather than posting something impossible — the dispatch is left for a person.
  • Traceability is unaffected. Auto-assigned batches are recorded exactly as manual ones are.
