A posted dispatch is read-only, because stock has already moved. But a wrong batch number on a posted line is a traceability problem, not a tidiness one — it has to be fixable, and it is.
Role required: QA Manager. Editing a posted dispatch line is restricted, because it changes a record of something that has already happened.
Correcting the batch
- Open the dispatch and go to the line.
- Unlock the line.
- Record why you are changing it, in the comment against the line. This is the audit trail — a corrected batch with no explanation is worse than the original error.
- Correct the batch number and save.
Why this is controlled
The batch on a dispatch line is what says this batch went to this customer. It is the link a recall depends on. Changing it after posting rewrites part of your traceability record, so it is limited to QA Manager, and the reason is captured with the change.
The full history remains available through the record’s audit trail, so the original value and the correction are both retrievable.
Things to know
- This is for correcting a mis-recorded batch, not for changing what was sent. If the wrong goods went out, that is a return or a credit, not an edit.
- Quantities and other header details stay locked. Posting fixes those deliberately.
