Creating a dispatch records what you intend to send. Posting it is what removes the stock from inventory. Until a line is posted, the goods are still on hand as far as the rest of the system is concerned.

Where to find it: on any dispatch with a status of Created or Partially Posted.

Posting all or part of a dispatch

You can post the whole dispatch at once, or individual lines as they are picked and loaded. Posting some lines leaves the record Partially Posted; when the last line posts it becomes Posted automatically.

Partial posting suits a load that goes out in stages, or one where a line is still being resolved and you do not want it holding up the rest.

What posting locks

Once any line on a dispatch has posted, the header can no longer be changed and no new lines can be added. Stock has moved on the strength of what the record says, so the record stops being editable around it.

If more goods need to go to that customer, raise another dispatch. If something on a posted line is wrong, see Correcting a batch on a posted dispatch.

What posting does

  • Removes the stock from inventory, from the specific batches on the lines.
  • Updates the sales order, moving it to Partial Fulfilled or Fulfilled as its lines are satisfied.
  • Completes the traceability chain — those batches are now recorded as having gone to that customer, which is what a recall trace follows.

Things to know

  • Kit lines explode before posting, when the dispatch is marked dispatched — so what posts is the components with their batches, not the kit.
  • Non-inventoried products post no stock. A MISC item has none to remove.
  • Invoice after posting where you want the invoice to reflect exactly what went out.
