Once a batch is complete the finished product is in stock and ready to go. A dispatch record says what is going, to whom, and from which batches.
Where to find it: Dispatch in the Inventory section, or Create Dispatch on a sales order.
From a sales order
The usual route. On a confirmed order with goods still to send, choose Create Dispatch.
If that customer already has an open dispatch, you are asked whether to add these lines to it or start a new one. Adding to the existing one is how you avoid sending two vehicles to the same customer on the same day. Where nothing is open, a dispatch is created straight away.
The action is hidden when there is nothing to send — an order made up only of charges and discounts, or one already fully fulfilled, has no goods to dispatch.
From Dispatch Planning
To build a run across several orders at once, use Dispatch Planning. It lists everything outstanding and groups your selections into one dispatch per customer and site. See Dispatch planning and consolidation.
Directly
- Go to Dispatch and choose New Dispatch.
- Enter the customer, a reference and the dispatch date.
- Add a line per product, choosing the batch and the quantity.
- Save.
Use this for goods leaving without a sales order behind them — a sample, a replacement, a transfer to a customer’s own site.
Scanning a barcode
Where barcoding is switched on, dispatch lines can be added by scanning rather than typing. Choose Scan, point the camera at the QR code, and the line is filled in from the code — product, batch and quantity — which removes the most common source of a wrong batch on a dispatch.
Kits
A kit is dispatched as a kit line. When the dispatch is marked dispatched, the line explodes into its components, each allocated to a batch, first expiring first out. A component short of stock still produces a line — unbatched, for a picker to assign — rather than blocking the dispatch. See KIT and MISC product types.
Long dispatches and Another batch
These apply when Enhanced UI Goods Workflow is switched on in Account Settings, which shows dispatch lines as a list beside the line you are picking.

- Find a line. From 9 lines, a Find a line box appears above the list. Type part of a product code, description or batch number to narrow the list.
- The list scrolls on its own. On a long document the line list scrolls beside the line you are working on, so the entry pane stays on screen, and the selected line is kept in view.
- Another batch. When an order line has to be picked from more than one batch, pick the first batch and click Another batch. The line is saved, and a new pick opens for the same product, pack size, unit and sales order line, with the quantity the order line still needs filled in. Choose the batch, location and dates for the next pick.
- Another batch is not offered on a new line that has not been saved, on kit headers or kit components, or once the dispatch can no longer be edited (for example after it is posted).
Next steps
- Post it to take the stock out of inventory — see Posting a dispatch to inventory.
- Invoice it with Invoice this dispatch, which charges for exactly what went.
