Alert Preferences decide which training emails and push notifications QTRACA sends you about your team: overdue training emails, a warning when team completion drops, and a daily summary. (Certification expiry emails are separate and always sent; see Things to know.) They are your own settings; other supervisors choose theirs. This article explains what each setting actually triggers and when, so you can tell why an email did or didn't arrive.

Where to find it: Training > My Team, then the bell, then the cog icon, which opens Alert Preferences.

Settings at a glance

Setting Default In short
Email me when team members have overdue training, with Alert after how many days overdue? (1, 3, 5 or 7 days)On, 7 daysYou are emailed when a team member's training reaches that many days overdue, then with the later overdue notices.
Email me when team compliance drops below threshold, with Compliance threshold (%) (90, 85, 80, 75 or 70%)On, 80%One email each time team completion falls below the threshold. The threshold also decides who is At Risk, even with the email off.
Send me a daily summary email, with Delivery timeOff, 08:00One email a day, in the hour you choose, listing your team's current alerts.
Enable browser push notificationsOffA push notification when a team member's document training becomes overdue.

None of these settings change what the bell shows. Alerts appear there whatever you choose.

Quick start

  1. On Training > My Team, click the bell, then the cog icon at the top of the alerts panel.
  2. Tick the emails you want. Ticking the overdue email or the daily summary reveals its option (days or time); the compliance threshold is always shown.
  3. Click Save Preferences. The confirmation reads “Alert preferences saved successfully”, and the team list and alerts reload, because a new threshold can change who is At Risk.

The Alert Preferences dialog with overdue emails after 7 days, compliance threshold 80% with the note that it also decides who is At Risk, a daily summary at 08:00 and browser push notifications unticked

Overdue training emails

With Email me when team members have overdue training ticked, you are emailed on the morning a team member's training reaches Alert after how many days overdue?. What happens after that depends on the kind of training.

Courses

Each morning QTRACA emails trainees whose course is 1, 7, 14 or 30 days overdue, then about once a month. Your email, subject “Team Member Training Overdue: <name>” with a View My Team button, comes first on the day the course reaches your threshold, then alongside each later trainee notice.

Your threshold You are emailed at
1 day1, 7, 14 and 30 days overdue, then monthly
3 days3, 7, 14 and 30 days overdue, then monthly
5 days5, 7, 14 and 30 days overdue, then monthly
7 days7, 14 and 30 days overdue, then monthly

Document training

Read & acknowledge and document quiz training assigned from a controlled document is marked overdue the morning after its due date, and the trainee is told then. You are emailed once (“Team Member Training Overdue”, with a View Dashboard button) on the morning it reaches your threshold. If its due date is extended and it falls overdue again, you are emailed again.

If you turn it off

  • Trainees still get their own overdue emails. Only yours stop.
  • Reminders you send yourself about overdue courses still copy you. A manual reminder always copies the trainee's supervisor. See Sending Training Reminders.
  • The threshold still sets the bell: an overdue alert turns from medium to high once it reaches your threshold, and becomes critical at 14 days.

Compliance threshold email

Every hour QTRACA checks each of your teams, one per site. It works out team completion the way My Team does: completed training divided by assigned training (courses, document training and renewals that have come due), with excused courses left out. When that falls below your threshold, you get one email:

  • Subject “Team training compliance has dropped”, headed Team Compliance Alert
  • The figure, for example “Team completion is below 80% (currently 79%).”
  • A View My Team button

Once per drop. While the team stays below the threshold you are not emailed again, however many hours pass. When completion gets back to the threshold or above, the drop is over, and a later fall sends a new email.

The threshold also sets the At Risk rule (“under 80% complete”) and the bell's Team Compliance Alert. Those use your threshold even when the email is turned off, which is why the dialog says “Also decides who is At Risk, even with this email turned off.” and keeps the threshold visible.

Daily summary

With Send me a daily summary email ticked, QTRACA emails you once a day in the hour you set in Delivery time:

  • The hour counts, the minutes don't. The check runs on the hour, in your account's time zone, so 08:30 sends at about 08:00.
  • Only when there is something to report. If your team has no alerts that day, no summary is sent.
  • The subject sums up the day, for example “Team training summary: 2 overdue trainings, 3 certifications expiring or expired, Team completion is below 80% (currently 74%)”. Overdue trainings include document training and renewals past their grace period.
  • The body lists up to 10 alerts, most severe first, with a View My Team button.
  • If you supervise trainees on more than one site, they are combined in one summary.
  • It is independent of the other two emails; you can have the summary instead of them.

Push notifications

Enable browser push notifications sends you a “Team Member Training Overdue” notification, for example “Farid Hassan has overdue training for Hand Washing Procedure”, when a team member's document training becomes overdue. It is sent whatever your overdue-email threshold is.

  • It arrives on the browsers and devices where you allowed QTRACA to show notifications. Your browser asks when you sign in. Ticking this box does not ask again: if you blocked notifications in the browser, nothing arrives.
  • Overdue courses, compliance drops and the daily summary are email only; they don't send a push.

Availability and permissions

  • Requires the Training module. My Team is available to the Admin, Training Coordinator and Supervisor roles.
  • Preferences belong to you and apply to all your sites. Nobody else can change them for you.
  • The emails go to the email address on your QTRACA user. With no address, you get none of them.
  • You only receive supervisor emails for trainees whose Supervisor is you. See My Team Training Overview.

Things to know

  • Cancel discards your changes. Reopening Alert Preferences shows what is saved.
  • There are no emails for completions, new assignments or approaching due dates. Use the At Risk filter (due within 7 days) to see what is coming up.
  • Certification emails are not controlled here. As a trainee's supervisor you are always emailed “Team Member Certification Expiring: <name>” 90, 60, 30 and 7 days before a certification expires, and “Team Member Certification Expired: <name>” once it has expired. These settings can't turn them off. Expiring certifications also appear in the bell and the daily summary.
  • “Preferences Not Saved” with “Daily summary time must be HH:MM” means the delivery time was cleared. Pick a time and save again.
