A learning path puts courses and documents into an order a trainee works through, such as everything a new production starter does in their first month. Steps unlock one after another, optional steps never hold anyone up, and progress is worked out from the trainee’s real training records — nobody ticks steps off by hand.
Where to find it: Build paths in Training > Learning Paths. Assign them from Training > Trainees, open the trainee, Assign Learning Path.
Concepts
| Term | What it means |
|---|---|
| Learning path | An ordered list of steps, for example New Starter Induction. |
| Step | One training course or one managed document. |
| Required / Optional | A required step must be completed before later steps unlock. An optional step can be done at any time and never blocks anything. |
| Locked | A step the trainee cannot start yet, because an earlier required step, or one of the course’s prerequisites, is not complete. |
| Progress | The percentage of required steps completed. |
| Active | Only active paths can be assigned, and only active paths show in the Training Centre. |
Quick start
- Go to Training > Learning Paths and click Create Learning Path.
- Enter a Name and Description and leave Active on.
- Click Add Step, choose Training Course or Document, pick the item, untick Required step if it is optional, and click Add Step. Repeat for each step.
- Put the steps in order, then click Save.
- Open a trainee and click Assign Learning Path.
The learning path list

Across the top: Total Learning Paths, Active Paths and Trainees Enrolled. Each card shows the path’s Steps and Enrolled counts with Edit, Deactivate or Activate, and a delete button that asks “Are you sure you want to delete "<name>"?”.
Building the steps

New Starter Induction runs Site Induction, then Hand Washing Procedure, then Food Safety Fundamentals, with Allergen Awareness as an optional extra. Each step shows its number, name, a Training or Document badge and Required or Optional.
| Control | What it does |
|---|---|
| Drag handle, Move up / Move down | Reorder the steps. |
| Star (Mark as optional / Mark as required) | Switches the step between required and optional. |
| Bin (Remove step) | Removes the step from the path. |
| Preview | Shows the steps as a numbered timeline with their Required and Optional badges. |

In Add Step, the list offers active courses only; a course still at Created, or Completed, is not listed. The Document option appears when your account has Document Management, and lists published documents.
Changes to the name, steps and order are saved only when you click Save, which then returns you to the list. If saving fails you stay on the page with “The learning path could not be saved.” so nothing is lost.
How steps unlock
For each trainee, every step’s status comes from their actual records:
| Step status | When |
|---|---|
| Completed | The course is completed or signed; the document is acknowledged, completed or passed. |
| In progress | Assigned but not done, including overdue, or a failed document quiz waiting to be retaken. |
| Not started | Nothing assigned yet. |
| Locked | An earlier required step is not completed (the trainee is told to complete that step first), or the course has prerequisites the trainee has not completed. |
- Optional steps never lock later steps, and an optional step is itself locked only by a required step before it.
- A step is assigned when the trainee starts it in the Training Centre. Starting a course step creates their assignment on the course; starting a document step creates their document training record, due after the document’s Due Date Offset (14 days if none is set). Anything already assigned is reused, not duplicated.
- Progress counts required steps only, so skipping the optional Allergen Awareness does not stop someone reaching 100%. If a path has no required steps, all steps count.
- Completed means every required step is complete.
What the trainee sees is covered in Following a Learning Path.
Assigning a path to a trainee

- Open the trainee from Training > Trainees and click Assign Learning Path.
- Choose the path in Select Learning Path. Only active paths are listed.
- Click Assign Learning Path. “Learning path assigned successfully. First step has been assigned to the trainee.” confirms it.
The dialog explains: “Assign a structured learning path to this trainee. The first step they can work on is assigned now; each later step is assigned when the trainee starts it in the Training Centre, once the steps before it are complete.” The first step is the first that is neither locked nor already completed, so the trainee has something to do straight away.

The trainee’s Learning Paths tab lists their paths with Status, Progress and Assigned Date. The bin removes a path from the trainee after “Are you sure you want to remove "<path>" from this trainee?”. The path’s own screen lists everyone on it under Assigned Trainees.
Availability and permissions
- Part of the Training module. Document steps need Document Management as well.
- Creating, editing and deleting learning paths needs the Admin or Training Coordinator role.
- Assigning a path to a trainee, or removing it, needs Admin, Setup Admin User, Supervisor or Training Coordinator.
- Paths belong to a site; a name can be used only once per site.
Things to know
- Progress updates as training is completed. Completing a course or document that is a step brings the trainee’s path status and percentage up to date, on the path’s screen as well as the trainee’s tab.
- Only published documents can be steps. A draft or retired document is not listed in Add Step.
- A trainee can be on a path only once. Assigning the same path again fails.
- Removing a path, or a step, does not remove training already assigned through it. Those courses and documents stay on the trainee’s record.
- Deactivating a path hides it from trainees in the Training Centre and from the Assign Learning Path list. Their training records are unaffected.
- Later steps wait for the trainee. Each is assigned when the trainee starts it in the Training Centre, so a trainee who never opens the Training Centre will not see those steps on their record.
