Setup is where QTRACA is configured before day-to-day work begins. This guide lists what lives there and suggests an order to work through it — because several things depend on others, and setting them up in the wrong order means going back.
Where to find it: the Setup section of the main menu.
You will not need all of it. Which sections appear depends on the modules switched on in Account Settings, so a site not using orders will not see the orders setup at all.
Suggested order
1. Decide what you are using
Start at Account Settings. It decides which modules appear and which checks are required, so it shapes everything that follows. See Account Settings.
2. The foundations
| Set up | Why first |
|---|---|
| Units of Measure | Products cannot be created without them. |
| Locations | Needed before stock can be received into them, if you use locations. |
| Pack Sizes | Assigned to products, so they come before the products that use them. |
| Allergens | Referenced by products and specifications. |
| Dynamic Lists | The picklists used across the system — complaint types, QA hold and reject reasons, status colours. |
3. What you make and who you deal with
- Products — organised by type: Raw Materials, Finished Goods, Work in Progress, Packaging, and where orders are in use, Kits / Bundles and Misc / Services.
- Suppliers, Customers and Consumers — including the checks each supplier product requires on receipt, which is what drives the goods receipt screens.
4. Production
- Production Lines, Batch Workflow and Inventory Flows — how making things actually runs.
- Work Calendar — your operating days.
5. Quality
- Templates, Template Groups and Form Workflow — your forms.
- CCP Templates — critical control points.
- Approval Groups — who signs off what.
- Non Conformance Types and Ratings — how issues are classified.
- Document Control — Approval Chains and Document Categories.
6. Orders and finance
Only where Orders and Demand Planning is switched on. Work through Currencies, FX Rates, Tax Zones, Tax Codes, Price Lists, Supplier Contract Prices, Order Settings and — if you push to an accounting system — Tax Code Mappings.
The order matters here, and Getting started with Orders sets it out in full.
7. Reporting, alerting and connections
- Dashboard Setup, Report Definitions and Chart Definitions.
- Alert Rules — what you are told about, and when.
- Email Templates — the wording of what QTRACA sends out.
- Integrations — accounting systems and other connections.
- OCR Templates, where documents are read automatically.
Recovering something deleted
Recycle Bin holds deleted records, so a deletion made in error can be recovered rather than re-keyed.
Things to know
- Set up little and often rather than all at once. Most of Setup can be added to as you go; only the foundations genuinely block progress.
- Most setup is per account, but records belong to a site. Check which site you are in when something you created does not appear.
- Switching a module off in Account Settings hides its setup too — if a section has vanished from Setup, that is usually why.
