Account Settings is where QTRACA is shaped to how your business works. The switches here decide which modules appear, what each screen asks for, and which steps are required before something can be completed.

Settings apply to the whole account, not to one user or one site, so a change affects everyone.

Where to find it: Account Settings under Setup.

Modules and menus

These decide what appears in the main menu at all. Turning one off hides its screens; it does not delete anything, and switching it back on brings the records into view again.

Setting Effect
Show Production and Inventory MenuShows the production and inventory sections.
Show Productivity MenuShows tasks and projects.
Use Orders and Demand PlanningShows the whole orders and demand planning feature set — sales and purchase orders, contracts, invoices, bills, pricing and planning. See Getting started with Orders.
Use Contract Manufacturing Mode (For Brand Owners)Adapts the system for brand owners who have production done for them.

Inventory

Setting Effect
Use Stock LocationsTracks stock by location, and asks for a location when receipting and moving it.
Use Pack SizesEnables pack sizes on products and quantities.
Use BarcodingEnables barcode printing and scanning.
Display Traceability Info under QR CodePrints traceability detail beneath the QR code on labels.
Show Product Descriptions with Codes in DisplayShows the description alongside the code wherever a product is listed — helpful when codes alone are cryptic.

Goods receipts

Setting Effect
Use Inwards Goods Requested Date and QtyEnables the request step, so a delivery can be recorded as expected before it arrives.
Use Inwards Goods Request Line to handle multiple deliveries against a requestLets one request be satisfied by more than one delivery.
Allow Inwards Goods Line Cost EntryShows a cost column on receipt lines.
Must Approve Out of Range TemperaturesA temperature outside the accepted range must be approved before the line can proceed.
Inwards Good Line Allergen CheckingEnables allergen checking on receipt lines. The check appears only where the supplier product also asks for one.
Include “May Contain” Allergen WarningsTreats may-contain declarations as part of the allergen check.
Display Financials FlagShows financial values on goods receipts.

Two related settings sit beside these: the group whose members may approve out-of-range temperatures, and the group who may override an allergen check. Both restrict a decision to the people qualified to make it.

Dispatch

Setting Effect
Use Dispatch Requested Date and QtyEnables the dispatch request step. See Requesting a dispatch.
Allow Clean and Auto Post of DispatchesLets dispatches from integrations assign batches and post themselves. See Automatic dispatch from integrations.
Record Temperature on Dispatch HeaderAdds a temperature to the dispatch itself, for chilled and frozen loads.

Batches and production

Setting Effect
Enter Batch Number ManuallyBatch numbers are typed rather than generated.
Batch raw material must have stock availablePrevents consuming an ingredient the system does not believe you hold.
Allow expired ingredients in batch with reasonPermits an expired ingredient where a reason is recorded — a decision with an audit trail rather than a silent one.
Show comment box on batch ingredients and packagingAdds a comment against each ingredient and packaging line.
Use Product Packaging QuantitiesUses the packaging quantities held on the product.
Allow Optional Batch Product PackagingMakes packaging optional on a batch.
Batch Ingredient Quantity BreakdownMakes the Use Quantity Breakdown and Made in Mixes settings available on finished good and work-in-progress products. Each product then decides whether its batch ingredients are entered as a breakdown, or per mix. See Making a batch in mixes.
Use Waste Percent In Ingredient Qty CalculationIncludes a waste allowance when calculating how much of an ingredient is needed.
Default Consolidated Lines on Batch ScheduleOpens the batch schedule with lines consolidated by default.
Calculate Recipe CostWorks out recipe costing from ingredient costs.

Forms and tasks

Setting Effect
Require Signature During ApprovalAn approver must sign, not merely click approve.
Show ‘Forms to Confirm’ in forms viewShows the outstanding-confirmation list.
Show ‘Forms to Approve’ in forms viewShows the outstanding-approval list.
Use Form OwnerAssigns an owner to each form.
Disable Mobile Device RefreshStops mobile devices refreshing automatically.
Create Form Approval TasksRaises a task when a form needs approving, so it appears in someone’s list rather than waiting to be noticed.
Task Email NotificationsEmails people about their tasks.

Appearance

Setting Effect
Enhanced UI LayoutThe updated screen layouts. See Enhanced UI Layouts.
Enhanced UI Batch Workflow / Form WorkflowThe step-by-step workflow views for batches and forms. Enhanced UI Batch Workflow also switches Production › Schedule to the touch schedule.
Enhanced UI Goods WorkflowThe tablet worklist for receipts and dispatches: lines beside the open line, and a list of what is stopping the document from posting. See Enhanced UI Goods Workflow.
Display Large Fonts and Buttons in Operator UIEnlarges text and controls for tablets on the factory floor, where gloved hands and a metre of distance make the standard size impractical.

The operator screen

A separate group of settings chooses which tiles appear on the operator screen: Forms, Schedule, Batches, Inwards Goods, Dispatches, Transfers, Product Recipes, IoT Dashboard, and tasks — either My Tasks (Current Site Only) or My Tasks (All Sites).

Show only what that team actually does. An operator screen with four relevant tiles is quicker to use than one with nine.

Renaming fields to match your language

Some labels can be reworded so screens read the way your team speaks:

  • An alternative product code label, where you call it something other than a code.
  • Goods receipt reference labels for the two reference fields — so they can read Docket No or Consignment rather than Reference 1 and 2.

Things to know

  • Settings apply to the whole account. They are not per user or per site.
  • Switching a module off hides it, it does not delete anything. Records return when it goes back on.
  • Some changes need a refresh to appear, because settings are read when you sign in.
  • Turning on a check makes it required where it applies — that is the point, but it will stop work in progress that has not recorded it.
